Terms of Service
Last updated: October 22, 2026
These Terms of Service ("Terms") govern your access to and use of DocsHound. Please read them carefully — by using DocsHound, you agree to them.
In these Terms, "DocsHound," "we," "us," and "our" mean DocsHound, Inc., a Delaware corporation, the company that operates the DocsHound service. "You" and "your" mean the person or organization using the service. A "DocsHound" (lowercase in context, also "a hound") means a conversational assistant you build and run with the service.

1Acceptance of these terms
By creating an account, clicking to accept, or otherwise accessing or using DocsHound, you agree to be bound by these Terms and by our Privacy Policy, which is incorporated here by reference. If you are using DocsHound on behalf of an organization, you represent that you have authority to bind that organization, and "you" refers to both you and that organization. If you do not agree to these Terms, do not use the service.
2The service
DocsHound is conversational process automation for small businesses. You describe, in plain English, what you want a hound to do. It can answer questions from your customers and your team, collect information, route it, and take actions such as sending an email or creating a link. You build and manage hounds, connect knowledge sources, embed a hound on your website, and — where enabled on your plan — add messaging channels and automations.
AI output may be inaccurate and should be reviewed. DocsHound generates responses using artificial intelligence. AI can produce answers that are incomplete, out of date, or incorrect, and it may occasionally state something that is not true. You are responsible for configuring your hounds, for the knowledge sources and instructions you provide, and for reviewing output before relying on it or letting it drive a decision or action — especially for anything legal, financial, medical, safety-related, or otherwise consequential. DocsHound is a tool to assist your business; it is not a substitute for professional judgment or human review.
We work to keep the service available and reliable, but we do not guarantee that it will be uninterrupted or error-free. We may add, change, or remove features over time. Some capabilities are offered only on certain plans, and some are described on our site as planned or on our roadmap and are not guaranteed to ship on any particular timeline.
3Accounts & eligibility
To use DocsHound you must be at least 18 years old and able to form a binding contract. You agree to provide accurate account information and to keep it current. You are responsible for your account credentials and for all activity that occurs under your account. Keep your credentials confidential, and notify us promptly at [email protected] if you believe your account has been accessed without authorization. You are responsible for the acts and omissions of anyone you invite or allow to use your account, including team members and seats.
4Acceptable use
You agree not to use DocsHound to, and not to allow anyone else to:
- break the law, infringe others' rights, or violate any applicable regulation;
- upload or process content you do not have the right to use, or that is unlawful, defamatory, harassing, or harmful;
- deploy a hound to deceive people about whether they are interacting with an automated system where disclosure is required, or to engage in fraud, spam, or deceptive practices;
- send messages through any channel in violation of anti-spam, telemarketing, or consent laws (for example, messaging people without the consent those laws require);
- attempt to probe, scan, or breach the security of the service, or access it other than through the interfaces we provide;
- reverse engineer, decompile, or copy the service, or resell or sublicense it, except as the law expressly permits;
- interfere with, overload, or disrupt the service, or circumvent usage limits or access controls; or
- use the service to build a competing product, or to train a competing model, using our non-public materials.
We may investigate suspected violations and may suspend or limit access to protect the service, our users, or third parties.
5Customer data & content
You own your content. As between you and us, you retain all rights to the knowledge sources, instructions, messages, and other content you provide, and to the conversation data generated through your use of the service ("Customer Data"). We do not claim ownership of it.
You grant us a worldwide, non-exclusive, royalty-free license to host, store, process, transmit, display, and otherwise use Customer Data solely as needed to provide, maintain, secure, and improve the service for you, to generate your insights, and as otherwise permitted in these Terms and our Privacy Policy. You represent that you have the rights and permissions necessary to provide Customer Data and to let us process it as described.
Your Customer Data is not used to train AI models (see Section 8 and our Privacy Policy for how this works and who our sub-processors are). See also Security for how we handle data. You are responsible for maintaining your own copies of content that is important to you.
6Fees, billing & trials
Free trial
DocsHound offers a 7-day free trial with no credit card required. At the end of the trial, you may choose a paid plan to continue; if you do not, your access to paid features may end. We may change or discontinue trial offers at any time.
Plans & fees
Paid plans are billed monthly in advance at the prices shown on our pricing page in effect at the time of purchase, which is part of these Terms. On your website you are priced on what your hound does — never per message; messages within a website conversation are unlimited. Optional channel add-ons (SMS, WhatsApp, or email) are billed in addition to your plan at the prices shown on the pricing page; SMS and WhatsApp add-ons include a monthly message allowance, and messages beyond it are billed per message as shown there. Fees are stated in U.S. dollars and are exclusive of taxes, which you are responsible for except for taxes on our net income. You authorize us and our payment processor to charge your payment method for all applicable fees.
Renewals & cancellation
Paid plans renew automatically each month until canceled. You can cancel anytime — there are no long-term contracts. Cancellation takes effect at the end of your current billing period, and you keep access through the end of that period.
Changes & refunds
If you upgrade or downgrade, the change and any price adjustment apply from the next billing period unless we tell you otherwise. We may change our prices with reasonable advance notice; changes take effect on your next renewal. Except where required by law, fees already paid are non-refundable, and partial billing periods are not refunded or prorated on cancellation. If a charge is clearly in error, contact us at [email protected] and we will work with you in good faith.
7Intellectual property
The DocsHound service — including its software, design, interfaces, the "DocsHound" name, logo, and the hound mascot, and all related intellectual property — belongs to us and our licensors, and is protected by law. Subject to these Terms and your payment of applicable fees, we grant you a limited, non-exclusive, non-transferable, revocable right to access and use the service for your internal business purposes during your subscription. No rights are granted except as expressly stated. If you send us feedback or suggestions, you grant us a perpetual, royalty-free license to use them to improve the service, without obligation to you.
8Third-party services
DocsHound relies on third-party providers to operate. AI responses are generated using Anthropic's Claude models, and the service is hosted on Cloudflare. By Anthropic's default terms for API use, your data is not used to train Anthropic's AI models. Depending on the features you enable, the service may also interact with other third-party services and channels you choose to connect. Your use of a connected third-party service is governed by that provider's own terms and policies, and we are not responsible for third-party services or for their availability, acts, or omissions. A current list of our sub-processors is available via our Security page.
9Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY. TO THE FULLEST EXTENT PERMITTED BY LAW, WE DISCLAIM ALL IMPLIED WARRANTIES, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.
WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, SECURE, OR ERROR-FREE, OR THAT DEFECTS WILL BE CORRECTED. AI-generated output may be inaccurate, incomplete, or otherwise unreliable, and you use it at your own risk and subject to your own review. We do not warrant any particular results from using the service. Some jurisdictions do not allow certain disclaimers, so some of the above may not apply to you.
10Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY LAW, NEITHER PARTY WILL BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE, DATA, GOODWILL, OR BUSINESS, ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
TO THE FULLEST EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE WILL NOT EXCEED THE AMOUNT YOU PAID US FOR THE SERVICE IN THE TWELVE (12) MONTHS IMMEDIATELY BEFORE THE EVENT GIVING RISE TO THE CLAIM. THESE LIMITS APPLY IN THE AGGREGATE AND REGARDLESS OF THE THEORY OF LIABILITY. SOME JURISDICTIONS DO NOT ALLOW CERTAIN LIMITATIONS, SO SOME OF THE ABOVE MAY NOT APPLY TO YOU.
11Indemnification
You agree to defend, indemnify, and hold harmless DocsHound and its officers, directors, employees, and agents from and against any claims, damages, liabilities, losses, and expenses (including reasonable legal fees) arising out of or related to: (a) your Customer Data or content; (b) your use of the service, including any hound you build or deploy and any messages it sends; (c) your violation of these Terms or of any law or third-party right; or (d) your breach of any consent or notice obligation to the people your hounds interact with. We will notify you of any such claim and may participate in the defense with our own counsel at our expense.
12Term & termination
These Terms apply for as long as you use the service. You may stop using DocsHound and cancel your subscription at any time as described in Section 6. We may suspend or terminate your access if you materially breach these Terms, fail to pay fees when due, or use the service in a way that poses a risk to us, other users, or third parties; where practical and appropriate, we will give you notice and an opportunity to cure. We may also discontinue the service with reasonable notice.
On termination, your right to use the service ends. You may request an export of your Customer Data within a reasonable period after termination; after that, we may delete it in the ordinary course, subject to our Privacy Policy and applicable law. Sections that by their nature should survive termination — including ownership, disclaimers, limitation of liability, indemnification, and governing law — will survive.
13Changes to these terms
We may update these Terms from time to time. If we make a material change, we will take reasonable steps to let you know — for example, by posting the updated Terms here with a new "Last updated" date or by notifying you in the product or by email. Changes take effect when posted unless we state otherwise. By continuing to use the service after changes take effect, you accept the updated Terms. If you do not agree, stop using the service and cancel your subscription.
14Governing law & disputes
These Terms are governed by the laws of the State of Delaware, without regard to its conflict-of-laws rules. The parties agree that the state and federal courts located in New Castle County, Delaware have exclusive jurisdiction over any dispute arising out of or relating to these Terms or the service, and each party consents to that jurisdiction and venue. Before filing any claim, you agree to first contact us at [email protected] so we can try to resolve the matter informally. If we cannot resolve it within 30 days, either party may pursue the matter as permitted above. Each party waives any right to a jury trial to the extent permitted by law.
